It is an acknowledged fact that a business must keep track of its assets so that full use of these assets could be attained. Opportunity cost is incurred whenever an asset is left idle and unused. Aside from this, there is also the need to weigh the costs of assets against its potential and realized benefits. Asset tracking is therefore necessary to any business wishing to operate in a cost-effective manner. And in this day and age, IT asset tracking is as important as fixed asset tracking and mobile asset tracking.

IT asset tracking is another term for information technology inventory tracking. As the term implies, it is keeping tabs on and keeping track of your information technology assets.

Information technology assets include your hardware (data servers or simply your computers and computer peripherals, your digital cameras and phones, etc.) and your software (your employee tracking software, your accounting software, your operating software, etc). Why do you need to track all these then?

IT asset tracking is necessary for cost-effective operations. Having unnecessary, unused and underutilized IT assets is not cost-effective. You have paid dearly to acquire these IT resources. The hardware and equipments do not come cheap. The software and applications needed to operate these IT equipments do not come cheap either. Aside from the costs incurred in the acquisition, you are also paying for personnel to operate these resources. And especially in the case of software, programs and applications, you are most probably paying a fee for updates and for renewal of licenses.

IT asset tracking minimizes opportunity costs. By having all the information about your company’s IT assets readily available, you will be able to check if you are using all these assets to their full and optimal capabilities. You can see which applications could be modified to suit your needs and thereby avoid having to buy a new one. You can see which hardware and software are not really necessary so that you can sell these off and buy something that you can really use.

IT asset tracking also minimizes costs brought about by loss through pilfering and abuse. Through the use of an IT asset tracking software or an IT inventory tracking program, you will have the information on what IT assets your company has acquired and which are currently missing. You can also check who had use of the equipment and IT asset right before it went missing. Responsibility is therefore fairly assigned and accountability is established.

Finally, IT asset tracking can give you the edge when bidding for projects. IT asset tracking gives you a bird’s eye view of your information technology capabilities. Thus, you can go ahead and solicit opportunities because you know exactly what you can deliver, how fast you can accomplish tasks and what costs would actually be incurred. You need only print a report of your IT assets before a pitch and you will sure get the project you’re bidding for.
