The electronic time card system definitely brings plenty of advantages to a company. For one, it significantly minimizes paper consumption. It also removes the need for pick-up and delivery of time sheets during payroll. Most importantly, time card system made the payroll process a lot simpler, less time-consuming, and less prone to human error.

Most time clock systems can easily accommodate common business or company policies and rules regarding time sheet processing, project data, and/or payroll process.

However, there is something to watch out for when acquiring and incorporating an electronic time card system to your company’s existing structure - compatibility.

Before making your time card system purchase, evaluate the product features your company will tend to use more. The program should be compatible with your existing data input devices, your HR and payroll policies, and current IT applications.

The time clock system should be flexible enough to allow you to set company rules. Make sure that the program can accommodate your time and attendance policies.

Smaller companies usually require basic systems that include time tracking, scheduling, and management. Bigger businesses on the other hand, may call for more functionality and reporting provisions.

If the time card system cannot fully integrate and adapt to your company’s existing infrastructure, the system vendor must be able to offer a workable arrangement that will address the conflicts at hand. A time table for implementation of the plans must also be presented.

While some systems are not compatible with your configurations, the majority of time clock systems are designed to work well with typical industry configurations. Payroll services and data entry systems are commonly supported by most time clock programs.

Your time card system must allow encrypted file transmission and possess other software security measures. It is also important that you let your time card system vendor demonstrate the security of the system against tampering from both internal and external sources.
