The development of modern time and attendance systems, which replaces the use of time cards or time sheets, has helped save time and labor costs by eliminating the process of having to manually gather and tabulate the work hours of each employee. A time and attendance system also controls any attempted time theft that may occur, when an employee reports more work hours than actually rendered in order to obtain more pay.

A time and attendance system works in a simple manner: the ID card of an employee is scanned into a reading system, which records the login and logout of each employee. For added security, some attendance systems include a biometric time system that takes the fingerprint, handprint, retina, iris or voice of an individual to ensure that someone else is not using the company ID card.

Most attendance systems also have their leave and overtime applications integrated into the software system, so that employees can access the system to apply for leaves and overtime; consequently, these applications are approved online by their manager.

When it is time to pay an employee, the time and attendance system calculates all the work hours rendered (including overtime, tardiness and absences), benefit entitlements and leaves taken. The database can then be used as a basis to pay an employee and for labor forecasting tasks.

Companies need a time and attendance system especially if one works for a medium or large company. Time and attendance systems are required when one cannot cope with the management and tabulation of time sheets, or when an increasing number of time theft cases are reported within company premises.

There are many types of time and attendance systems which can be bought directly from certain vendors or resellers: there are pc based systems and phone based systems. The price of the software or system is based on the server, function, the number of employees to monitor, the type of data that needs to be gathered and the hardware device that will be used to collect the data.

If you have decided to purchase a time and attendance system for your company, you should be prepared to give your vendor some information on what data needs to be included in the system, what features your company wishes to have and the price range that you can afford, so that they can create a software that meets all your needs.
