Hassles of Regular Fax Equipment

If you have a fax machine in your home or business, you may have experienced some hassles while sending or receiving fax documents.

You need a fax machine and a telephone line. Then you need to dial the recipient's phone number and then feed the document into the fax machine to send it through. If you're on the receiving end, you will need to turn on your fax machine to receive documents. Faxing can be distorted if either phone line is unavailable, or if the fax machine itself is malfunctioning.

Another hassle involves the time of faxing especially if you're communicating with someone across the globe. You have to keep your fax machine on all the time just to await the incoming document. Furthermore, you can't always be around to monitor the progress of the fax. You also need to maintain your fax equipment by continually replacing the toner and paper.

Technological improvements have made possible the installation of special software into your computer to enable you to fax documents you have stored as files. While this is handy, you still need a telephone and you're not spared from the problem of time difference. Faxing documents from your files can also take so much time and money, as you need to pay for the use of the telephone line.

A third solution uses PC to PC transmission, but you will need a scanner to make a copy of your document before emailing it to your recipient. Scanning takes time and doesn't eliminate the hassle of waiting for the emailed document.

Internet Fax Service as a Solution

Now there are sites that can help you send or receive faxes through the Internet. For only about ten dollars per month, you get an allocation of about 200 faxes each for sending and receiving. Some sites give you unlimited access. You don't need to wait for the fax's progress as you can easily monitor your account online. You have a record of the documents you sent or received, and your office staff can simultaneously use the site without causing jams or delays.

If you're using email fax service, you just need to indicate the recipient's fax number on your email message. The Internet fax service site will then transmit your document as a fax. Alternatively, a fax to email service allows senders to fax documents to the site, which the site converts into standard PDF files then sends them to you as email. You use a password to gain access to the service, so you are secure.

The Internet fax service site transmits your faxes at Internet speed, so it is ideal for multiple page documents and saves you a lot of time. Some sites also provide you with special software so that you could fax documents directly from your own desktop documents through the Internet to your recipient, with the same password-protected security features to ensure authenticity and confidentiality.
