( Telephony )

Think of how you communicated with your friends, colleagues and relatives when cellular phones, conference calls and computers were not yet common. Snail mail was the norm. Visiting relatives in far places was often necessary.

Today, you no longer have to wait for weeks for the postman to deliver an important letter. If you need to conduct business meetings with individuals from different locations, you do not have to lug your files and fly to where they are. Technology has proved that there are endless possibilities when it comes to communication.

Teleconferencing is a heaven-sent reality for agencies, institutions and individuals from various disciplines. Teleconferencing is an activity wherein people from different locations - the participants - talk to each other through a video or phone patch. In telephone conferences, only the voices of the participants are transmitted. In video conferences, the voices and pictures of the people involved are seen and heard.

Teleconferencing is very useful because you could meet with an individual or several people without having to leave your seat. You could coordinate with your clients, speak with your partners, provide updates to your boss, and obtain feedback from your customers without having to travel, spend a huge sum of money, or gather all the people in one venue. Teleconferencing allows you to communicate with ease.

One major advantage of teleconferencing is that you will know what others are thinking the moment they speak. It is as if you are talking to them face to face. A teleconference allows involvement of all the participants, making planning and decision-making quick and effective. A teleconference allows the exchange of feedback. Since feedback is very crucial in any communication activity, participants in a teleconference will be able to analyze their comments and suggestions, come up with better plans based on what has been talked about, ask questions and get answers immediately.

How does a teleconference work? An individual is tasked to set up a teleconference. If you are given this responsibility, you will be in charge of contacting every participant, setting the time for the teleconference, and gathering the group. You will also track the flow of the meeting and take note of issues shared by every participant. Usually, an experienced technician will be there to assist in the conference.

In telephone conferences, participants could interact with each other using speakerphones, landline phone extensions, and mobile phone networking. For more complicated conference calls, a technician may be needed to arrange satellite connections and handle more complicated equipment. Video conferences require more devices, like computers, a satellite connection, a screen for monitoring or viewing the participants and a video camera.

Many agencies and institutions use teleconferencing to encourage public participation in discussions. It is a cure for emergency meetings and disseminating information, especially to people in hard to reach areas.

Teleconferences will allow you to share your ideas despite the distance. It allows you to get your message across!
